Managing emails can be a rather cumbersome process. Sorting emails and filtering them into relevant folders, tagging emails of a certain kind or grouping together project emails normally end up taking an inordinate amount of time. To help you deal with such situations, the Ms Outlook application is endowed with the Quick Steps feature that can automate multiple actions in one simple click. In this article we would closely explore the Quick Steps feature and look at some of the facets that need to be kept in mind while working with them.
Understand the Default Quick Steps
There are whole set of default Quick Steps available in Outlook for your convenience. These include Move to, Team Email, Done etc to name a few. Essentially for using a Quick Step that is available by default, you need to configure it to perform the actions you wish to execute. In other worlds if you wish the Quick step to send files to a certain folder, you would have to input the destination folder name before running the quick step.
Creating a Custom Quick Step
To create a custom quick step you need first move into the Quick Steps group that comes under the Mail pane. Once you are there hit on Click New Quick step and enter a name for the one you wish to create. Next you need to go to Actions and select the actions that you wish the Quick Step to perform. You can also create a shortcut key to launch the quick step.
Quick Steps should be used to handle actions that Rules cannot perform effectively
When you are looking to apply a set of actions in one go, both rules and quick steps can achieve the same for you. In fact rules can achieve them with greater efficiency. In contrast Quick Steps should be used where rules cannot be automatically applied and human decision is needed. For example, emails that needs to be manually checked before being moved is a good choice for applying Move to Quick step rather than a rule.
