Microsoft Access is a fantastic program, but it can take a while to get used to all of the things that it does. These tips and tricks can help you finish your regular tasks quickly.
Trying to figure out everything that Microsoft Access has to offer can be difficult. Once you have used the program for a while, you stop exploring. There are a number of features people don’t even realize.
Whether you are a first-time user or an expert, there are definitely things you don’t know about Access. Here are five tips and tricks you should be using to make your experience that much easier.
Tip 1: Faster Access with the Quick Access Toolbar
The more you work in a Microsoft product, the more repetitive your tasks are. If you find you are constantly using a couple of functions over and over again, you can make a shortcut.
The Quick Access Toolbar is at the top of the screen. There are several buttons there by default. Add your regular tasks to this bar so that you can execute them more quickly. Also, if there is a function that takes a while to open, add it here. That way you won’t have to worry about forgetting how to find it the next time you need it.
Tip 2: Use the Templates
One of the easiest things you can do to reduce the amount of time you spend on your database is to use the templates. Regardless of your industry, there is a nearly perfect starting place for most of your needs. Spend some time going through the templates to see what works for what you need. From forms and tables to queries and reports, there are templates for just about everything.
There are even database templates so that you can quickly move into data entry.
Tip 3: Enable All Macros
It is important to be careful of macros when working with an outside source. When you are working within your own database, all of those security questions are just annoying. Instead of accepting it, you can change the setting. Go into the Access settings and click on Trust Center. Under Macro Settings, click next to Enable all macros.
This is not recommended if you work with databases external to the company.
Tip 4: Create PDFs of Your Reports
You probably already know about exporting data to Excel. You can actually do something similar for reports. By creating PDFs out of your queries, you will have the data you need for customers and meetings. Once you generate your report, click on File, Save and Publish, Save Object As, PDF or XPS, Save As. Name the PDF something that you can remember for easier retrieval later.
Tip5: Know the Access Experts
It is easy to find people who complain about Access, but they are rarely experts. The best way to work through troubles is by knowing who the experts are. There are a number of different boards where you can find help on different issues. If you have lost some of your data and need help with Access database recovery, you should know who you want to contact.
Experts are the people who really help you reach your Access goals. There is an answer for every problem, but you want the right answer.
